Island Recreation Association Rules, Regulations, and Policies

  • In consideration of your accepting me/my child’s/family registration, I hereby for myself, my child, my family, my heirs, executors and administrators waive and release any and all rights and claims for damages I or my child or family may have against the Hilton Head Island Recreation Association, including all representatives who are in any way connected with the Association’s events/programs. Further, in the event of any injury, I do hereby give my permission and consent to authorize such First Aid and/or Medical and/or Hospital care or treatment as deemed appropriate. In addition, I am fully aware of the provisions covered by the fee for any event/trip/program I have registered for and I understand that if any emergency arises, and all additional expenses incurred must be borne or assumed by the participant. The Island Recreation Association has my permission to take photographs of my child or myself while using the Island Recreation or participating in any Island Recreation Association programs, special events and activities. I understand that these photographs may be used for the Island Recreation Association advertising through and not limited to brochures, flyers or newspaper articles. I have full and complete legal authority to sign on behalf of myself, family, and my child(ren).

  • Refunds will be given for cancellations made before the start of the program. Administration fees may be assessed.

    After the program has begun, refunds will be given at the discretion of the program director and/or business manager.

  • ISLAND RECREATION ASSOCIATION HANDBOOK AGREEMENT

    I have read the Island Recreation Association Summer Camp Handbook and understand and agree to the policies and procedures given.

  • GYM RULES AND REGULATIONS

    No excessive hanging on the rim. You break it, you buy it.

    Participants must wear sports-appropriate clothing. Shirts and athletic shoes (non-marking, no black soles) are required at all times.

    Participants under 13 years old must be under direct adult supervision.

    Family-friendly language and good sportsmanship are expected at all times. Roughhousing, fighting, and horseplay are prohibited.

    Staff reserves the right to direct gym usage as deemed necessary and remove anyone from the facility who is found in violation of the rules or is disruptive to other guests.

    UPPER-LEVEL FITNESS RULES AND REGULATIONS

    Family-friendly language and good sportsmanship are expected at all times. Roughhousing, fighting, and horseplay are prohibited.

    Participants under 13 years old must be under direct adult supervision.

    Drinks (other than spill-proof bottled water) and food are not allowed on the track or around the track area.

    No book bags, fanny packs, jackets, etc., should be left lying on the floor. Island Rec nor its employees are responsible for lost or stolen property. Participants are encouraged to use the facility's lockers.

    Staff reserves the right to direct gym usage as deemed necessary and remove anyone from the facility who is found in violation of the rules or is disruptive to other guests.

    WALKING TRACK RULES

    Inside lane designated for walkers; outside lane designated for runners. Runners pass on the outside and to the right.

    No standing on walking track. Please move off of the track to take a break. Do not put equipment on the track.

    FITNESS EQUIPMENT RULES

    Please wipe down equipment when finished. If someone is waiting, please limit your use of equipment to 30min.

    Users unfamiliar with the operation of the exercise machines should seek assistance from the Fitness Attendant on duty.

    POOL RULES

    All Rules And Requests Made By Lifeguard Must Be Followed- Lifeguard Has Final Authority

    Report medical issues to staff on duty

    No running on the pool deck- walk at all times!

    No food or drink on the pool deck

    Changing of clothes must occur in locker rooms and is not permitted on the pool deck.

    Shower before entering the pool- persons with open cuts, sores, bandages, colds, coughs, or infected eyes are not permitted in the pool.

    Persons in the water must wear acceptable swimsuits. Jean shorts are not allowed.

    All children under the age of 3 years old must wear a swim diaper or plastic pants and a swimsuit regardless of toilet training. No cloth or land disposable diapers are allowed.

    Non-swimmers must stay in shallow water area. Children under the age of 12 may be subject to a 25-yard swim test.

    Flotation devices (water wings, swimsuits with floats etc.) are not allowed.

    Lap lanes are for continual swimming only

    Starting blocks are not recreational use, swim teams and rec staff only

    Dangerous practices are prohibited - such as but not limited to: patrons must not run on decks; climb, sit or jump from fences; dive in shallow water (less than 8 feet deep); dunk, push, pull or splash swimmers. Jumps are permitted feet first. Back jumps, twisting, and flips are not permitted at any time

    Foul or abusive language will not be tolerated.

    No outside coaching or teaching is allowed

    Emergency procedures must be observed. Swimmers must leave the pool area immediately upon the signal or request of the lifeguard.

    Water Fitness Class Temperature Policy: The night before class, if the hourly weather report has class time(s) with temperatures of 54 degrees and below, the class will be canceled if the dome is not installed.

  • CANCELLATION FEE

    I/We acknowledge non-recurring pricing does not qualify for a cancellation fee. If I/we wish to terminate my/our recurring membership, I/we are subjected to a $50 cancellation fee. Island Rec Association has the right to waive the fee due to extenuating circumstances such as medical issues, death, and relocation. Additional documentation may be required. I/We acknowledge month memberships cannot be canceled.

    GUEST PASSES AND GUEST POLICY

    I/We acknowledge that guest passes are tracked with a punch card given to members at the time of registering. Guests are required to check in to complete paperwork. Amount of guests passes and classes vary based on the level of membership.

    ABIDE BY ALL POSTED RULES

    I/We acknowledge that by reading and signing this membership paperwork, I/we are agreeing to abide by all of Island Recreation Association’s, terms and conditions, and procedures.

    MISSING/LOST SCAN CARDS

    I/We acknowledge that there is a $5 replacement fee for lost scan cards. $5 fee for a forgotten card after two warnings.

    CHANGE OF MEMBERSHIP

    Recurring memberships can be upgraded at any time. Memberships can be downgraded with 30 days notice.

    MEMBER’S HEALTH WARRANTY AND USE OF EQUIPMENT

    I/We acknowledge that I/we warrants and represents that I/we have no disability, impairment, or ailment preventing him/her from engaging in active or passive exercise or that will be detrimental or inimical to his/her health, safety, or physical condition if he/she does so engage or participate. It is further agreed that all exercises including the use of weights, number of repetitions, and use of any and all machines, equipment, and apparatus designed for exercising shall be at I/we sole risk. Notwithstanding any consultation on exercise programs which may be provided by Island Recreation Association employees, it is hereby understood that the selection of exercise programs, methods, and types of equipment shall be I/we entire responsibility.

    UNPAID BALANCES

    All balances are to be paid in full or set up as recurring with Island Recreation Association. Any unpaid balance from membership fees, goods, or services past 30 days will result in automatic termination of membership and will require payment in full to be reinstated. I/We is obligated to pay any collection and/or legal costs incurred by Management pursuant to enforcing the financial obligations.

    VALUABLES AND PERSONAL PROPERTY

    Members are urged to avoid bringing valuables onto rec center premises. Management, its affiliates, or employees shall not be liable for the loss, theft of, or damage to the personal property of members or guests.

  • Operating hours are 8am to sunset Monday through Sunday. NO EXCEPTIONS

    The Pavilions are available to reserve Monday through Sunday for a time block of four hours. The fee to use the shelter is $35/per time block.

    Please maintain all CDC guidelines and regulations posted by the Island Rec & Town of HHI.

    All Reservations and Cancellations must be requested within 72 hours from rental time(s). No refunds will be issued otherwise.

    The Island Recreation Association manages both the Jarvis Creek Park and the Sailing and Rowing Center at Squire Pope Community Park. The Association’s employees have the authority and will enforce all rules and regulations governing the use of the Parks.

    No outside equipment such as bouncy houses, slides, tents, grills/cookers, or any kind of outside entertainment equipment is allowed at Jarvis Creek Park or Squire Pope Community Park.

    Groups and individuals using the parks will be expected to leave the park clean and in good condition. All waste paper and litter must be put in the proper receptacles. ALL TRASH MUST BE REMOVED from the property after park rental. The Association and the Town of Hilton Head Island will not be responsible for any property that is left on the premises by individuals or groups using the parks. If the area rented is not cleaned and trash is left behind your $100.00 will NOT be refunded. All vehicles must park in designated parking spaces

    Any organization, group, or person using the parks will be held responsible for any and all damages that may occur as a result of improper use. Any organization, group or person improperly using the parks may be banned from future park usage. If the park or associated facility is damaged as a result of a rental or event, the cost of labor and materials used for repair will be charged to the renter.

    Do not throw hot charcoals in the trash receptacles, this can cause a fire.

    Persons using the park shall obey all posted signs.

    The Island Recreation Association must first approve any decorations and the placement of such. No person(s) shall willfully mark, deface, disfigure, tamper with, displace or remove any part thereof of the parks.

    Any activity in the parks must be conducted according to applicable laws, policies and procedures. The Association approves all rental requests.

    The Association reserves the right to deny any application and/or negotiate any or all charges, deposits and fees as determined to be in the community’s best interest.

    Appeal: In the event an applicant is denied approval for a non-special event (an event anticipated to have five hundred [500] or less people at any one time), an appeal may be made to the Town Manager. The Town Manager shall make a decision within seven (7) days granting or denying the appeal. The Town Manager’s decision shall be final.

    In the event an applicant is denied approval for a special event (as defined in Town Code Section 17-12-115 [a (1), (2), (3)]), an appeal shall be made in accordance with Town Code Section 17-12-124.

  • Anyone with a past due balance in our child care program will not be able to register for the summer camp until the balance is paid in full.

    Anyone with a past due balance who has been granted a scholarship for extra-curricular activities (i.e. soccer) will be required to pay full price until the past due balance is paid in full.

    There will be a fee of $20 assessed for any returned check.

  • The Island Recreation Association provides inclusive programs to all children who differ in various characteristics. We don't discriminate regardless of race, color, religion, age, sex, sexual orientation, gender identity, gender expression, national origin, or ability.

    The Island Recreation Association allows transgender children to participate in recreational programs which correspond to their gender identity on a case-by-case and season-by-season basis, and with the Island Recreation Association's Board approval.

    For registration purposes on gender-based programs, a child may register with the gender and name with which the child identifies and confirmation sufficient for guaranteeing access shall be satisfied by documentation or evidence that shows the stated gender is sincerely held, and part of the child's core identity.

  • Coaches, parents, participants and fans are required by the Hilton Head Island Recreation Association to abide by a strict code of prudent behavior at Recreation Center activities. Any conduct outside these lines will force the Association to take necessary action.

    Examples of non-prudent behavior would include, but are not limited to, the following:

    Fighting, Abusive Language (Can Be Nonverbal), Confronting a Referee/Umpire/Staff Member, Unsportsmanlike Conduct, Misuse of Equipment

    Examples of necessary action would include, but are not limited to, the following:

    Asked to Leave the Area Immediately, Prohibited from Recreation Association Sponsored Programs for a Set Period of Time

  • Youth Recreation Philosophy

    The Hilton Head Island Recreation Association is dedicated to teaching children in our community the fundamentals of youth sports in a safe, positive, and age-appropriate manner. We encourage physical, psychological and social growth and work to build life-long athletes and fitness enthusiasts among our youth. The Association emphasizes placing the emotional and physical well-being of any youth athlete ahead of any personal desire to win. Participants, coaches, parents, volunteers and employees are expected to support this philosophy.

    To support this philosophy …

    • We are inclusive of all participants who desire to play and follow the guidelines set forth by this department.

    • We provide developmental and participation based programs.

    • We provide programs that allow children to have a chance to participate equally.

    • We expect our programs to incorporate fair play, good sportsmanship, playing for fun, and to encourage physical activity, skill building, and teamwork.

    • We ask that all coaches fill out background check forms

    • We believe in programs that leave time for other pursuits or interests.

  • 1. I will play for fun!

    2. I will work hard to improve my skills.

    3. I will follow and learn from my coach’s directions and suggestions.

    4. I will learn and play by the rules of the game.

    5. I will play fair and try hard during the game and remember that winning isn’t everything.

    6. I will always respect my teammates, opponents, coaches and officials.

    7. I will not boo, taunt or yell negative comments about my team, my coach, the opponents or the officials.

    8. I will support my teammates and tell them when they are playing well.

    9. I will never argue with an official’s decision.

    10. I will always shake hands with my opponents after the game.

  • PARENTS/SPECTATORS CODE OF CONDUCT

    1. I will not force my child to participate in a sport.

    2. I will remember that children participate in athletics to have fun and that the game is for youth and not adults.

    3. I will let the coach, coach and will refrain from yelling direction to the players.

    4. I will speak to the coach after the game and not in front of the children if I have any concerns.

    5. I will respect the rules of the game and never argue with the officials.

    6. I will be a positive role model by supporting and respecting the players, coaches, spectators and officials at every game and practice.

    7. I will not boo or taunt any player, coach or official.

    8. I will recognize all players, efforts and encourage everyone’s best performance over the outcome of the game.

    9. I will cheer for all the children on the team, not just my own.

    10. I will value skill development, fair competition and effort.

    11. I will have my child arrive on time for all games and practices and let the coach know in advance if my child will be absent, arriving late or leaving early.

    12. I will try to support the team and my child by being at his/her game.

    13. I will not encourage any behaviors or practices that would endanger the health and well-being of the athletes.

  • 1. I will make skill development, sportsmanship, teamwork, fun and learning the rules of the game the goals of my team.

    2. I will be a positive role model by respecting my team, our opponent and the officials.

    3. I will learn and play by the rules of the game and never argue with the official’s decision

    4. I will be generous with my praise, emphasizing the children’s effort and not the outcome of the game.

    5. I will be fair, honest and consistent in my coaching philosophies and practices.

    6. I will ensure that all children have an equitable playing experience consistent with the rules and regulations of the Recreation Department guidelines for each sport.

    7. I will strive to hold regularly scheduled organized practices throughout the season.

    8. I will recognize that children learn differently and adapt my practices to the needs of each child.

    9. I will participate in coach education.

    10. I will communicate clearly with parents about my goals for the team and what I expect their role and behavior as parents to be.

    11. I will ask my assistant coaches, my players, and my parents to refrain from booing, taunting and yelling negative comments regarding either team.

    12. I will not encourage any behaviors or practices that would endanger the health and well-being of the athletes.
